How to reduce your event management processing costs by up to 48 percent

AirPlus publishes results of the MICE study // New options for optimizing processes

AirPlus International, the leading global provider of payment and settlement solutions for business travel expenses, conducted a study on potential processing cost savings in event management. To this end, the business consultants at Steinberg & Partner of Hamburg evaluated the supplier revenues at six sites of AirPlus customer ZF Friedrichshafen AG. The result – with the right tools, event management processing costs can be reduced by as much as 48 percent.

ZF event planners spend an average of 10.7 hours ordering and booking services for events and processing the relevant invoices from hotels. In addition, a staff member in accounting requires 0.41 hours on average to process any invoice related to an event. When using the AirPlus Meeting Card in connection with a hotel portal, ZF reduces the processing time required for each event by 61 percent. After deducting the cost of the hotel portal, net savings can be up to 48 percent.

Hotel portals facilitate research, but first and foremost they make in-house processes – comparing quotations and preparing them for decision-making as well as processing invoices for event planners – demonstrably easier.

The processes that benefit most from the increased efficiency facilitated by the use of the AirPlus Meeting Card are related to accounting control and account assignment. Also, the use of the AirPlus Meeting Card makes some processes obsolete: saving hotels in the system for accounts payable, dunning, and the payment of deposits.

Reducing the number of invoices also helps make other processes more efficient, for example, invoice receipt and settlement.
