Roles and rights AirPlus Portal
As a Program Manager, you are the "super user" for your company's access to the AirPlus Portal. You have access to all portal functions and the ability to manage all your company's agreements.
Please let us know if you would like to check or change the role of Program Manager in your company. You are also welcome to name another contact person if your Program Manager is not available for portal onboarding.
Our email address for sending electronic billing files has changed: In the future, emails will be sent from edi@airplus.com instead of edi@airplus.de. Please make sure that the new address ending in .com is not blocked in your systems.
With the migration to our new IT system, the IP address we use to send data to customers will also change. If you receive your data on an SFTP server, please also set up our new IP address in your systems.

You can view and download your statements in the AirPlus Portal in the “Statements” section.

Important: The number of your AirPlus product will be masked on your statement to comply with recent PCI (Payment Card Industry) security regulations. Instead, please use the ‘Financial Account Number’ as a reference when speaking to your AirPlus Service Team. You will find this number on your statement as well as in the AirPlus Portal. If you are using an OCR-tool (Optical Character Reader), be sure to make the necessary adjustments.
Settlement levelSettlement will be at card level, providing greater control and flexibility.
Credit Note: Please note that a minus sign will be placed in front of every credit on the PDF credit note documents for better visual display.
After the migration, you will be able to see your first transactions in the new portal. However, until mid-July at the latest, it will be possible to receive two statements and possibly two direct debits until the transactions still posted on the previous platform have been settled:
You might receive both statements and direct debits, where applicable, on the same day as they will be generated in parallel. This ensures a clean transition as well as high data quality. Please check both portal accounts in order to reconcile statements and ensure that both statements are settled.
Through the transition to modern digital processes, we have also shifted to paperless statements. Additionally, this contributes to reduced paper consumption. After the transition, you can conveniently view and download your statements in PDF format through the AirPlus Portal. If you currently receive paper statements, we invite you to switch to PDF today. Thank you for your support in creating a sustainable future.
We differentiate between the products AirPlus Company Account and AirPlus Travel Trade Account to better meet the needs of the market and target groups:
AirPlus Company Account: For companies that want to pay for and settle all their business trips centrally.
AirPlus Travel Trade Account: For companies in the travel industry that require a central payment solution for purchasing travel services other than their own business travel expenses.
As a result of this usage-based assignment, the name of your product may have changed accordingly with the changeover, e.g. you contracted an AirPlus Company Account but use it like an AirPlus Travel Trade Account, it will be referred to as an AirPlus Travel Trade Account going forward although the designation in the contract is not changed.
IATA regulations and resolutions for travel agencies: If you use AirPlus payment solutions for purposes other than your own business travel spend, e.g. without limitation, for purchase of travel components from a travel service provider to resell them to your own customers, you must ensure that you comply with all IATA regulations and resolutions.

The AirPlus Intelligence Hub is the entry point to our new, modern reporting tool for monitoring and analyzing your spend. It provides you with valuable information on the most important figures and KPIs with a clear dashboard design.

AirPlus Data+
Data+ is the data extraction module in the AirPlus Intelligence family, used for in-depth analysis, customized preparation, extraction, and delivery of your highly granular business data. It's the latest module of our home-grown reporting tool that focuses more than ever on your individual business needs. Thanks to the powerful Report Builder, you can use filter and attribute settings to configure, run, schedule, save as a template, and export reports. You can easily share the templates you create with other users and schedule reports to run when they're needed.
In case you have already used AirPlus Information Manager before you will get early access to Data+ to try the product for free in the beginning of July.

With the migration, we will extend our security measures to comply with recent PCI (Payment Card Industry) security regulations. In the former Business Travel Portal, full numbers of the AirPlus account were displayed. In the new AirPlus Portal, these numbers will be masked to ensure highest security standards.
Please note: In the future, this number is also masked on your PDF statement. However, as a Program Manager or Portal Administrator, you will be able to view and download all details of your AirPlus payment solution, including the full number, in the new AirPlus Portal. This number is also fully displayed in your electronic billing files.

AirPlus Intelligence
There is no impact for your travel agency as your AirPlus Account numbers will remain the same. Your payment processes should not need any updates.
However, we recommend that you pass on all relevant information to your travel agency and other partners involved.
After migration, you will be able to see your first transactions and resulting statements in the new portal. However, until mid-July at the latest, it will be possible to receive two statements and possibly two direct debits until the transactions still posted on the previous platform have been settled: one visible in the old portal displaying transactions done before the migration and one in your new portal displaying transactions made after the migration. This will ensure a clean transition as well as high data quality.
Please ensure with your bank that both statements are balanced.
The name of this product was slightly adapted about two years ago to better reflect market and target group requirements. Our proven product services remain unaffected.
The old portal will remain available until October 31, 2025, but with limited functionality. For example, you will not be able to view AirPlus accounts that were created in the new portal after the migration.
In the former Portal, full numbers of the AirPlus Accounts were displayed. In the new AirPlus Portal, these numbers will be masked due to PCI regulations.
The mobile phone number is used either to send TANs via SMS or to identify the user when they call. From a regulatory perspective (PCI DSS (Payment Card Industry Data Security Standard)), it is more secure to use a mobile phone number to send TANs (two-factor authentication). However, we will continue to offer TANs via email until further notice.
This is not recommended due to the established verification procedure. Please ensure that you create a portal user for each individual person. The number of Portal Users is not limited.
We have made significant changes to the new AirPlus Portal to make it easier to use and more secure. The main modifications include:
All users of the old Business Travel Portal who do not yet have access to the new portal need to register for the new AirPlus Portal in order to kick-off the migration process. You will receive an email from AirPlus with a registration link.
Please note: You will need to create a new password for your new portal login. Please do not share your login credentials and note that a user can only be logged in to one device at a time.

Guide to registering for the AirPlus Portal
We have implemented two-factor authentication at login to guarantee security in line with industry standards. You will receive a TAN to verify your identity when logging in, but once inside the portal, we have removed the need for most other authorizations for further portal actions that previously required it.
Each TAN is valid for ten minutes. If you do not use it to log in to the portal within these ten minutes, you will need to request a new TAN.
Yes, as soon as you have registered for the new portal, you will receive the same rights as in the former Business Travel Portal.

As Program Manager, we kindly ask you to log in to the new portal after the migration, go to ‘User Management’ and check if all your users have been migrated.
The new roles concept within the new portal allows easy assignment and overview of each user’s access rights. Check out our roles and rights document – there you will find an overview of the existing roles.
The username for the new portal is your email address, and portal users cannot change their usernames. If you had multiple users in the previous portal, you could merge these during the registration process.

A portal session lasts as long as you stay active and signs you out after 10 minutes of inactivity. This is for the security and protection of your data.
Clicking on the language abbreviation at the top right of the AirPlus Portal will open a drop-down menu with several language options.
If you experience issues with your set language on the AirPlus Portal, try first clearing cookies from your browser history and then repeat the desired action.
Due to the migration from the former AirPlus Portal to the new Portal, there is a cut-off date after which your transactions and statements will appear in the new AirPlus Portal. This may result in you receiving two statements for the first billing cycles after migration.
Please have a look at both portals during the transition period if you cannot find a specific transaction or statement.
As a Program Manager or Portal Administrator, you can update the following settings in our AirPlus Portal:
Please contact your Program Manager or Portal Administrator. They can adjust your role and permissions for the portal.
The portal roles Program Manager and Portal Administrator can view the overall business partner limit on the agreement overview and in the Dashboard (top left).
It depends on the level: At the account level, Program Managers and Portal Administrators can adjust the account limit themselves in the portal.

Yes, the Program Manager, Portal Administrator, and Card Administrator roles can add missing DBI (Descriptive Billing Information) for transactions. This function can be found under the “Transactions” tab, “Transactions” submenu.
The Program Manager and Portal Administrator roles can create new users and assign roles and permissions. A user can be deactivated so that they no longer have access to the portal. All permissions or role assignments are then removed. Subsequent reactivation is possible via the same menu.
Yes, you can assign roles and permissions twice (except for the role of Program Manager). However, this is not possible for a limited period of time.
Yes, Program Managers and Portal Administrators can download card/account lists for their AirPlus accounts with various details via the “Reports” tab.
Program managers, Portal Administrators, and Card Administrators can dispute transactions via the AirPlus portal. To do so, go to the “Transactions” tab > ‘Transactions’ submenu and select “Start dispute.”
In the new portal, we have decided to divide the information into two tabs. In the “Transactions” tab, you can see all transactions, and in the “Statements” tab, you can see all documents relevant to billing in PDF format.

No, these statements and electronic billing files for transactions prior to June 10, 2025, as well as all historical statements, can be found in the previous portal. All statements and electronic billing files with transactions after the migration date of June 10, 2025, are available in the new AirPlus Portal.
You will find your statements in the usual format under the “Statements” tab in the portal.

Yes, you can also receive this notification in the new portal. You can manage your notification settings in the profile area of the portal.
No unfortunately individual report templates from the former AirPlus Information Manager will not be transferred to the new Reporting Tool A+ Intelligence Data+
The new reporting module Data+ (part of A+ Intelligence), the successor of the former AirPlus Information Manager will be available for early access to AIM customers in the beginning of July. All other customers, who have not yet used the AIM, will be able to contract and access the product later this year (fee applied).
We will not be offering live training, but we will provide a step-by-step guide and training videos.
Historical Information Manager data will be migrated to the new AirPlus Intelligence reporting tool in Q4 2025.
In the first step, existing customers will receive access to the new Data+ module, but the Intelligence Hub will be available free of charge via the portal.
