Travel Manager Irma Rinkel of Bluewater Energy Services in the Netherlands tells us how the travel department handles business travel matters thanks tothe AirPlus A.I.D.A.Virtual Cards.
“Within Bluewater I work as a Travel Manager. At the travel department we arrange all business travel for our colleagues worldwide. Bluewater Energy Services is a supplier to the Oil and Gas Industry and also active in the Renewable Energy Sector. We design, build and operate floating production units as well as buoys. Business Travel Management is very important for Bluewater Energy Services. Our people travel to repair jobs, to visit conferences, to other offices, but also to and from the vessels (for crew changes).
There’s a wide range of travelers; the less experienced travelers are the crew members, traveling to and from the vessels to do their rotation on board. In the past, our main challenge was to arrange everything for those inexperienced group of travelers. But since a few years we use the AirPlus virtual payment tool A.I.D.A. virtual cards, which made life much easier for everybody.
We use A.I.D.A. virtual credit cards for quite a lot of trans-actions. We use it for air, low cost carriers, for hotels, train and ferry tickets. I think we generate virtual credit cards five times a day. Last summer one of our vessels was in dry dock for a modification period and at that time we arranged all the hotel bookings for everybody coming in to work on that vessel.
We have brought bookings to several hotels, 20 rooms a night for 30 or 60 nights in a row. Luckily those hotels accepted the AirPlus virtual payment solution so we could arrange the payments for the guests. Having them all pay separately would have been a lot of added work.
Thanks to the virtual credit cards all rooms were paid successfully. Next to flexibility, the virtual payment solution provides a big advantage for the Finance department, because they have less expense sheets to process as everything is fully automated.
